Driver Workflow at John Galt Group

  1. Morning Routine

After you wake up do your morning routine. It is very important for a truck driver to stay fit, physically and mentally. Don't drink alcohol before driving or take any kind of drugs which may impair your driving skills. Avoid heavy meals before driving, as these can make you feel drowsy. Don't forget about your morning exercises.

2. Update Your Logs and do PTI

Driver Workflow:
Make Sure the Vehicle is in Good Working Order. Check the brakes and brake lines, tires pressure and tread depth, coolant and oil, mirrors, windows, windscreen wipers, lights, indicators, and also emergency equipment. 3. Dispatch Sends you the Load Info

  • Call Shipper
  • Give to dispatch and shipper either the ETA for pick up

4. When you are at the Pick up

  • Verify Load Legality: Confirm that the load is legal in terms of dimensions and weight (we use gauges if available to measure)
  • Tanker Endorsements: Ensure that the load doesn't require a tanker Endorsement
  • Hazmat Check: Verify that the load is non-hazardous (no fuel, explosives, batteries, chemicals, paint, etc.)
  • Load Securing and Photos: Secure the load and take photos of it secured. It the load needs to be tarped, take an additional set of photos with the tarp in place.
  • Share photos: Send the photos to the "Load Pictures" group in Telegram
  • Bill of Lading (BOL) Review: Obtain the BOL and confirm that it matches the following details:
    • The cargo loaded on your trailer
    • The delivery location
    • Non-hazardous designation (it will be indicated on the shipping papers if it's Hazmat)
    • If a BOL's isn't provided, contact your dispatch, who will give you further instructions.

5.Weight the Load if:

  • It exceeds 35000 pounds
  • It appears heavier than expected
  • Use our company's CAT Scale Account for weighing
  • If the load is overweight, inform your dispatch for further instructions. In most cases, you'll need to return to the shipper for reloading.

6. Plan your trip

  • Plan your stops for food, fuel, overnight parking and estimate your delivery arrival time
  • Stay updated on weather conditions along your route, aiming to avoid storm-affected areas to prevent needing chains.
  • If you're hauling a permitted load, review your permit and follow the specified routes exactly.

7.Along the way

  • Fuel
    • Use Flying J, Pilot and Love's Locations; Limit to 50 gallons at TA and Petro
    • How to use Compass Fuel Card - Compass Fuel Card.
  • DOT Inspections & Purchases: Report any DOT's inspections or purchases
    • Use the company credit card only for approved expenses
    • Take a photo of invoice's or receipt's and send in the "BOL" group in Telegram
  • Emergency Situations:
    • Accident or Claim - Take as many pictures as you can
      • Driver's license's
      • Damage to the vehicle's or cargo
      • Report time when it happened, so we can download the video from the dash camera
      • Text in the maintenance group about what happened
      • Follow the instruction in the folder that you have in the truck
    • Brake Downs 
      • In case of break down or road side assistance
      • Text message to the Maintenance Group in Telegram, Vlad or Ivan will respond you to fix the issue properly and fast
      • Describe what happened
    • Late Delivery
      • Inform your dispatch and receiver in case of late delivery or traffic to prevent any communication issues

8. At Delivery

  • Delivery Photos: Take another set of photos of the load upon delivery
  • BOL Verification: Ensure the BOL includes only the following:
    • signature
    • date
    • printed name
    • NO notes on missing or damaged items

9. Paperwork

  • Payment Process: Upload the BOL in PDF Format to the designated link (It's pinned as the top message in the Telegram group - BOL's and Receipts)
  • Trip Pack Submission: Use Trip Pack to submit paperwork. Drop the yellow Trip Pack at the truck stop
  • Required Documents: 
    • BOL
    • DOT Inspections
    • Receipts of the purchases from Company Card
    • Besides of that, we don't need fuel receipt from Fuel Card

10. Communication

  • The most important thing
    • You are our eyes and ears on the ground - if you don't inform us about an issue, we can't work to resolve it
    • Whether delays are within or beyond our control, it's essential to maintain professionalism and keep customers updated promptly
    • We always welcome your feedback, whether positive or constructive, so please share any suggestions for improvement
