Driver Workflow at John Galt Group

  1. Morning Routine

Driver Workflow:
After you wake up do your morning routine. It is very important for a truck driver to stay fit, physically and mentally. Don't drink alcohol before driving or take any kind of drugs which may impair your driving skills. Avoid heavy meals before driving, as these can make you feel drowsy. Don't forget about your morning exercises.

2. Update Your Logs and do PTI

Driver Workflow:
Make Sure the Vehicle is in Good Working Order. Check the brakes and brake lines, tires pressure and tread depth, coolant and oil, mirrors, windows, windscreen wipers, lights, indicators, and also emergency equipment. 3. Dispatch Sends you the Load Info

Driver Workflow:
It is important that you communicate with your dispatcher who is looking for the best load for you and don't forget to let him know about your preferences about the distance you want to cover, areas you want to drive to and other information that might be helpful for him in order to avoid misunderstandings. Click for more info.

4. Call Shipper

Driver Workflow:
Call Shipper and Tell them your ETA for Pick-Up and make sure they will get you when you get there. Then Update your Log and Drive to Pick-Up.

5. Check The Load

After the Load is on your trailer Check that you are not overweight, oversize, and there is no damage to the Load. Make sure the load is evenly distributed.

6. Secure the Load

Secure (strap, chain) the load. Do not move one inch if the Load is not Secure, once its on your trailer you are the one responsible for it, doesn't matter what happens to it or what the loader/shipper says. If necessary, redistribute and secure it again if you unload part of it before your final destination. Tarp the Load if needed. Click for more info.  

7. Take Pictures

Take a few Pictures of the Load after you secured and tarped it (if needed) and send them to Telegram, to Load Pictures Group. Then sent a text to your dispatcher that you are Loaded, on your way to delivery, and with the ETA for When you Will be at Delivery so your dispatch know when you'll be able to get your next load.

8. Check Your Route

Anticipate any Bridges, Tunnels, etc. where your vehicle might have a problem (dimensions, weight). Where you will take your breaks. And don't forget to check weather conditions! Update your Log Book and Start Driving to Delivery.

9. Fuel along the Way

Fuel along the way in truck stops that are in our network of our fuel cards, Update Your Log Book.

10. If you've been DOT Inspected or Bought Anything

If you have been DOT inspected, or if you bought anything with company credit card (truck wash, engine oil...) send receipts and paperwork to telegram to BOL, Receipts and Paperwork Group. 11. Great Communication

If you keep up the great communication, and your actions stay true to your words then you will receive the info for your next load while still in transit with this one.

12. When you Arrived at Delivery

Driver Workflow:
Once you've arrived to delivery send a text message to your dispatcher that you are at delivery and take pictures of the load at delivery and send them to load pictures group on telegram.

13. After Unload

After Unload When you get the BOL signed by the receiver make sure the BOL is clean with his signature, date, print name only (if there is damage or anything else marked on the bills report to dispatcher and safety department right away before leaving from there, and follow their instructions on what to do). Take Pictures of BOL and send to telegram to BOL, Receipts and Paperwork group. Click for more info

14. Final Step

Write to your Dispatcher you are Unloaded, Update your log book and head on to your next Pick-Up.

15. Company's Credit Card Expenses

There are a few rules regarding the using of the Credit Card the company's providing to the driver:
  • You can not use the card for your personal expenses, you can use the card only for the expenses related to truck or job - in case you use it for your personal expenses we will charge a 30% income tax on top of the amount spent because we can't write off this as an expense as it is a personal transaction. Please, use the credit card for minimum necessary, and get authorization for transactions over 90$, please don't abuse it as it will be blocked.
  • You have to send the receipts (the ones that you spent from company's credit card) together with BOLs and other paperwork, if the receipts will be missing the expenses without the receipts will be considered as personal expenses (How can we know if a certain amount was not spent for food, or tools or personal gadgets?). We strongly recommend to make pictures of it and send in BOL, receipts group, and then originals with all other paperwork sent to office
  • If a receipt is missing the driver has 7 days to get it. If the driver doesn't provide the receipt during these 7 days it will be considered as a personal expense and deducted from his/her paycheck.

16. Paperwork

On Thursday night put all your paperwork in prepaid Tripack envelope that you got from our company and drop it in yellow trippack box at truck stop (if you are through Chicago by tuesday noon you can leave them in night drop box by the office building or bring them into the office if we are open, we will be glad to see you).

17. Getting Paid

On Tuesday make sure you received a confirmation from our accounting department that we received your paperwork in the office, if you don't receive this message by noon please contact accounting department, and tell them which BOLs, at what truck stop, date and time you dropped it so we can follow up with trippak, and pay you based of pictures and wait for them to deliver it to us. In same day (Tuesday) you will receive the statement in your mail, if you have any questions about it don't hesitate to contact accounting department. On Friday morning money will be in your bank account.

18. The most Important

Most important is communication all the way along your work process. We make no excuses, we say what we will do, we do it, if for some reason outside of our control we cannot do it than we act professional about it: we communicate in time and keep up to date everybody in the line of service. So even if the product side of the service fails, we still can provide great customer service and keep service side of it great by communicating. 🔙Blog Page
